PhasePilot — Privacy
PhasePilot stores the information needed to run the app and keep your work available when you sign in.
What we store
- Your account email.
- Your password, saved only as a one-way hash (never the actual password).
- Install, device, and account IDs.
- Your jobs and job names.
- Your questions and their answers.
- Your notes.
- Your saved calculations.
- Your troubleshooting sessions.
- Your code bookmarks.
- Your photos and their context notes.
- Your trial status and usage counts.
- Sign-in sessions and expiring password-reset codes, both stored as hashes.
- Feedback you send, and answers you flag, including the flagged question and answer.
Photos
Before a photo is uploaded, the app saves a new copy without hidden details such as location, date, or device information. Your original photo stays on your phone, unchanged.
Outside services
- OpenAI (through Emergent) answers your questions. It receives your question, the earlier questions and short answer summaries from the same thread, and the photo if you ask about one. It does not receive your job name, your notes, your saved calculations, your photo context notes, other threads, your email, or your account ID.
- Emergent stores your photo files and sends password-reset emails (your email address and a reset code, only when you request a reset).
- No analytics, crash reporting, push notifications, or advertising. Billing is turned off during the pilot.
Signing in, signing out, and reinstalling
- Signing in links anything you created before signing in to your account.
- Signing out removes your data from the phone right away; it stays on our servers and comes back when you sign in again.
- Anything you create while signed out joins your account when you sign back in.
- After reinstalling the app, signing in brings back everything linked to your account. Data that was never linked to an account can't be recovered after you uninstall.
Deleting saved items
- Deleted notes, photos, calculations, questions, and troubleshooting sessions disappear from the app.
- Deleting a job deletes everything saved in it the same way.
- Their text and details are erased from our database, except a minimal record that stops a deleted item from coming back: an ID, the account it belonged to, and a deletion marker — plus, for photos, the file's storage location.
- If you flagged an answer, the flag keeps its copy of that question and answer until your account is deleted.
- The photo file itself stays in Emergent storage, can no longer be opened through PhasePilot, and is listed for erasure once a deletion method is available.
Deleting your account
- In the app, tap the profile icon at the top right of the Ask screen, or go to More and tap Profile & Settings. Then tap Delete account. Or email admin@phasepilot.app.
- After a 72-hour grace period, your account and everything in it is permanently deleted from our database.
- Feedback you sent, answers you flagged, and your troubleshooting sessions are deleted too.
- Photo files are handled as described above.
Website
- The phasepilot.app website doesn't add any analytics, tracking, or advertising of its own. Our hosting provider, Emergent, sets two cookies, __emg_vid (kept for one year) and __emg_sid (kept for 30 minutes), which it uses to count visits and sessions to the site. They can't be read by scripts on the page and aren't sent to other websites.
Logs
- Our server keeps basic error logs (error types and request IDs). They don't contain your questions, notes, photos, or email.
